Mac Mail Tips: How to Customize Columns for a Clean and Organized Inbox

Managing your inbox efficiently starts with the right layout. The Mail app on your Mac allows you to customize which columns appear and how your messages are sorted. By tweaking these settings, you can find emails faster and keep your workflow running smoothly.

Step 1: Access the Column Settings in Mac Mail

  1. Open the Mail app on your Mac.
  2. In the Mail menu bar, select Mail.
  3. Select View.
  4. Select Columns.
  5. From the dropdown list, check the boxes for the columns you want to see, such as:
    • Date Received
    • Date Sent
    • From
    • Mailbox
    • To

Step 2: Sort Your Emails by Column

Once you’ve added your preferred columns, click any column heading to sort your emails. For example:

  • Click Date Received to view your newest emails first.
  • Click From to group messages by sender.
  • Click Mailbox to quickly see which folder a message is in.

Click the same column again to reverse the sort order.

Step 3: Adjust Column Widths for Better Readability

If your columns look cramped or have extra empty space:

  • Place your cursor on the vertical line separating two columns.
  • When the resize cursor appears, click and drag to make the column wider or narrower.

This small tweak can make your inbox much easier to scan.

Why This Matters

A customized Mail layout improves your productivity by:

  • Making it easier to locate important emails
  • Reducing visual clutter
  • Creating a consistent, personalized workflow
